Booking Terms & Conditions

The contract between you and Safari Quest Adventurez when you book a tour.

These Booking Terms & Conditions govern every reservation made with Safari Quest Adventurez (“we”, “us”, “our”) for safaris, Zanzibar holidays, mountain treks, cultural tours, transfers and tailor-made journeys across Tanzania and East Africa. By submitting a booking request, paying a deposit or travelling with us, you confirm that you have read, understood and accepted these terms on behalf of every member of your travelling party.

1. Booking process

You may book through our website, by email, by WhatsApp or through one of our authorised travel partners. The lead traveller making the booking must be at least 18 years old and is responsible for all payments, communication and decisions on behalf of the party.

All bookings are subject to availability and to written confirmation by Safari Quest Adventurez.

2. Booking confirmation

A booking becomes confirmed only after we have received the required deposit and issued a written booking confirmation (by email) containing your reference number, itinerary and price. Until then, no services are reserved on your behalf.

3. Deposits and final payments

  • A non-refundable deposit of 30% of the total tour cost is required to secure your booking.
  • The remaining balance must be paid no later than 45 days before your arrival date.
  • For bookings made within 45 days of arrival, full payment is required at the time of booking.
  • Failure to pay the balance by the due date may result in cancellation of your booking and forfeiture of the deposit.

4. Pricing policy

Prices are quoted in US Dollars (USD) unless otherwise stated and may also be displayed in EUR or TZS for convenience. Quoted prices are valid only for the dates, services and number of travellers shown in your written quotation.

We reserve the right to adjust prices before confirmation due to changes in park fees, government taxes, fuel costs, exchange rates or supplier rates. Once your deposit is paid and your booking is confirmed, the agreed price is held for that booking.

5. Minimum age requirements

Family travellers are warmly welcomed. Some activities — such as mountain climbing, walking safaris, night game drives, swimming with dolphins and certain water sports — have minimum age limits set by national parks, lodges or local operators. We will confirm any applicable age limits in writing before booking.

6. Group bookings

Bookings for groups of 8 or more travellers are subject to a separate group agreement covering rooming lists, deposit schedule, final payment dates and amendment rules. Group deposits are typically higher and final names are required earlier than for individual bookings.

7. Changes to bookings

  • Requests to change dates, accommodation, route or party size must be made in writing to your booking consultant.
  • We will use reasonable efforts to accommodate changes but cannot guarantee availability.
  • Changes may attract supplier fees, rate differences and an administration fee of USD 50 per change.
  • Substantial changes (e.g. shortening the trip after final payment) may be treated as a partial cancellation under our Cancellation & Refund Policy.

8. Customer responsibilities

  • Hold a valid passport with at least 6 months’ validity beyond your return date and the required blank pages.
  • Obtain all visas, permits and vaccinations required for your trip.
  • Arrange comprehensive travel insurance covering medical emergencies, evacuation, cancellation and luggage.
  • Provide accurate names, dates of birth, dietary and medical information at the time of booking.
  • Arrive on time for transfers and activities, and follow the reasonable instructions of guides and lodge staff.

9. Company responsibilities

Safari Quest Adventurez will deliver the services described in your confirmed itinerary using qualified guides, licensed vehicles and reputable suppliers. We will act with reasonable care and skill, monitor weather and safety conditions, and provide 24/7 in-country support throughout your journey.

10. Force majeure

We are not liable for failure to perform any obligation caused by events beyond our reasonable control, including but not limited to war, terrorism, civil unrest, epidemic or pandemic, natural disasters, extreme weather, government action, strikes, airspace or border closures and similar events. In such circumstances we will work with you to reschedule, substitute or, where appropriate, refund unused services net of unrecoverable supplier costs.

11. Governing law

These terms and any contract formed under them are governed by the laws of the United Republic of Tanzania.

12. Dispute resolution

Any complaint should first be raised in writing with our team while you are still in-country so that we have the opportunity to resolve it on the spot (see our Complaints & Feedback Policy). Disputes that cannot be resolved amicably will be referred to the competent courts of Tanzania.
