Cancellation & Refund Policy
How cancellations are handled and what refunds you may be entitled to.
We understand that travel plans sometimes change. This policy explains how to cancel a confirmed booking, the fees that apply and how refunds are processed.
1. Customer cancellation procedures
All cancellations must be made in writing to info@safariquestz.com and quote your booking reference. The cancellation takes effect on the date we acknowledge receipt of your written notice during business hours.
2. Cancellation fees based on notice period
- More than 60 days before arrival — loss of deposit (30% of tour cost).
- 60 to 31 days before arrival — 50% of total tour cost.
- 30 to 15 days before arrival — 75% of total tour cost.
- 14 days or less before arrival — 100% of total tour cost.
3. No-show policy
Failure to arrive at the agreed start point of your tour without prior written notice is treated as a no-show and is non-refundable. We will continue to hold accommodation and services where possible for the first 24 hours.
4. Company cancellation policy
In the rare event that we have to cancel a confirmed tour for reasons within our control, we will offer (a) an alternative tour of comparable standard, (b) a credit to be used within 12 months, or (c) a full refund of monies paid to us for the cancelled services.
5. Refund eligibility & processing timelines
Eligible refunds are paid to the original payment method within 14 to 30 business days of the cancellation being agreed. Bank fees, card-processing fees, money-transfer fees and currency-conversion losses are not refundable.
6. Non-refundable services
- Domestic and international flights and any government taxes already issued.
- Visa fees, conservation/park entry fees and permits already purchased on your behalf.
- Special-event accommodation (e.g. peak migration, festive season, marathons).
- Services already consumed or partially consumed.
7. Special circumstances
For cancellations caused by force majeure events (see Booking Terms § 10), we will refund any unused services we are able to recover from suppliers and pass on credits or vouchers where suppliers issue them. We strongly recommend comprehensive travel insurance to cover the gap.
